Ground transportation will be provided to and from LaGuardia (LGA) airport, Newark (EWR) airport, Grand Central Terminal train station and the official hotel. Please plan arrivals on Saturday, August 7, 2021 from 7 a.m. to 11 p.m. Departures from the hotel on Saturday, August 14, 2021 will run from 3 a.m. to 3 p.m. Arrivals and departures outside of these times will not be supported by Wheelchair Games transportation and are the responsibility of the participant. For Veterans driving to New York City, no Wheelchair Games dedicated parking will be available and individuals will be responsible for their own parking and associated fees.
Airline flight numbers and arrival/ departure times must be provided by the Veteran or the coach no later than July 1, 2021, so transportation can be arranged. It is the Veterans' responsibility to provide accurate travel information for pick-up at the airport. Missing or inaccurate flight info could or will result in no Wheelchair Games transportation available
All teams are responsible for making their own hotel reservations. Rooms are on a first come, first serve basis. Reservations will open on May 1, 2021. The last date to make reservations, based on availability, is May 31, 2021. The hotel requires a valid credit card to secure a guestroom reservation. The hotel accepts Visa, MasterCard, American Express, Diners Club and Discover.
Cost per room, per night will be the prevailing Government Rate, currently $220 per night or $1,540.00 for a seven-night stay.
The Games room rate is $220 per night plus 14.75% tax and $3.50 fees, which is $255.95 per night or $1791.65 for a seven-night stay.
Occupancy Tax Exemption:
If you are occupancy tax exempt in the state of New York, please fax or email a copy of your tax exemption form to the hotel reservation team prior to arrival and provide a copy of the list of names this will apply to.
There will be one hotel for athletes. Details will be provided in January.
Roll-aways are not available. Refrigerators are included in the sleeping rooms at the official athlete hotel.
Individuals and teams will be able to make reservations beginning May 1, 2021.
A one-time $8 per person, per room portage fee will be charged to your room at check-in as an incidental.
There will not be an immediate hold put on the credit card provided at check-in, but you will be responsible for any incidental charges during your stay (e.g. portage fee, parking, room service, etc.)
The official hotel offers valet only parking at $75 per night.
If you are paying for the group of team rooms by check, the check must be received 15 days or more prior to the event with a complete listing of guests’ names you will be covering with this check.
Hotel Cancellation Policy:
The hotel will allow attendees the right to cancel their guestroom reservations without penalty up to 72 hours prior to the day of arrival. The hotel shall charge the individual attendee or team one (1) nights guaranteed guestroom rate plus tax after such date or for failure of the individuals to check-in on the scheduled arrival date. Accessible rooms are not assigned through the hotel. Email your name, confirmation number and level of injury to Marisa Ramos, PVA (email@example.com) to request an accessible room after you have booked your hotel room. Rooms will be assigned based on need.
